BEAR Summer Camp Policies – Summer 2026

Registration & Payment

  • Registration is free.
  • Camp fee: $200 per program track.
  • Full payment is due by March 15, 2026 (90 days before camp start) to secure enrollment. If payment is not received, the seat may be released to a student on the waiting list.
  • A confirmation email will be sent once payment has been processed.

Cancellations & Refunds

  • If BEAR cancels a program due to low enrollment, staffing, or unforeseen circumstances, families will receive a 100% refund.
  • Families who withdraw by May 15, 2026 (30 days before camp start) are eligible for a full refund.
  • Withdrawals made after May 15, 2026 are non-refundable, except in cases of documented medical emergencies.
  • Missed days due to illness, travel, or personal scheduling conflicts are not eligible for prorated refunds.

Camp Sessions (Summer 2026)

  • Session 1: June 15–19, 2026 (VEX IQ Beginner & LEGO Spike)
  • Session 2: June 22–26, 2026 (VEX IQ Intermediate & IoT)
  • Session 3: July 6–10, 2026 (Entrepreneur)
    (additional sessions may be added if enrollment fills early)

Health & Safety

  • Parents/guardians must provide accurate medical information, including allergies or conditions, on the registration form.
  • A signed emergency contact and medical release form are required for participation.
  • Students exhibiting symptoms of contagious illness may be asked to stay home.

Code of Conduct

  • BEAR expects all students to show respect toward instructors, peers, and equipment.
  • Bullying, harassment, or repeated disruptive behavior may result in dismissal from camp without refund.
  • Students are responsible for proper use of robotics kits, laptops, and equipment provided.

Drop-off & Pick-up

  • Parents/guardians are responsible for ensuring students are dropped off and picked up on time.
  • Supervision begins 15 minutes before and ends 15 minutes after camp hours.
  • Repeated late pickups may result in additional fees or dismissal.

Technology Use

  • Devices provided by BEAR are to be used only for educational purposes.
  • Personal devices (phones, tablets, laptops) may be restricted during instructional time.

Weather & Emergency

  • In case of severe weather or emergency closure, BEAR will make every effort to reschedule sessions. If rescheduling is not possible, refunds will be offered.
  • All camps follow established emergency protocols for fire, weather, and medical incidents.

Liability & Media Release

Unless parents opt out, photos and videos taken during camp may be used for program promotion.

Participation requires a signed waiver releasing BEAR/ThinkerBox and its partners from liability in case of accident or injury.
